Job Description

Development and Alumni Relations (DAR) supports Johns Hopkins’ focus on research, teaching and patient care, and its role as a national and global leader in higher education. We create and foster enduring relationships that result in advocacy and philanthropic support for Johns Hopkins University & Medicine; strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.


Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 3 days per week. The manager will confirm the team’s core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.


The Fund for Johns Hopkins Medicine (FJHM) is the dedicated development and alumni relations team supporting the entities that comprise Johns Hopkins Medicine (JHM), including clinical departments, hospitals, satellite clinics, and the School of Medicine. We contribute to Johns Hopkins Medicine’s mission of patient care, research, and education through securing philanthropy, building and maintaining donor and alumni relationships, and supporting institutional priorities. FJHM partners closely with institutional leaders, faculty, and clinicians to engage alumni, patients, donors, and prospects in JHM’s work to advance medicine and improve the human condition.


The Development Coordinator for the Johns Hopkins Department of Medicine is an integral member of a highly successful development team at one of the premier medical institutions in the country. The coordinator will manage all fundraising administrative operations and provide critical support to the Department of Medicine & Heart and Vascular Development Offices. This support includes entering and maintaining development database information; processing contributions and donor acknowledgements; generating reports from our development database; communicating with donors, faculty, and staff; producing correspondence; coordinating logistics for events and meetings; managing calendars and travel arrangements; assisting with donor stewardship initiatives; and managing budget and expense activity.


The Development Coordinator must be able to exercise a high level of professionalism, judgment and tact in the resolution of administrative issues and perform under pressure with a high degree of accuracy, speed and diplomacy. The position requires excellent communication, computer, and time management skills and the ability to think independently and process information quickly. The coordinator will need to be responsive and adaptable, adjusting quickly to a constant flow of incoming work assignments and shifting priorities.


Key responsibilities: 

Gift Processing & Stewardship:

  • Process gifts and pledges with accuracy and generate weekly gift reports to track progress.
  • Draft, proof, and manage thank-you letters, ensuring timely appreciation of our donors.
  • Notify physicians about gifts received and collaborate with financial administration to manage gift accounts effectively.
  • Troubleshoot gift processing or accounting discrepancies, maintaining the integrity of our operations.

Administrative Support:

  • Communicate professionally and effectively with donors, patients, faculty, staff, and colleagues.
  • Manage and triage communications through our central office phone line and email account, ensuring timely responses.
  • Draft and refine written materials for print and online distribution, showcasing our mission and initiatives.
  • Provide logistical support for meetings, donor visits, and special events.
  • Offer backup support for fellow team members, ensuring smooth operations within the department.
  • Manage special projects as assigned.

Database Management:

  • Maintain a thorough understanding of JHAS (Salesforce), our donor and prospect database, ensuring accurate data entry and development activity tracking.
  • Initiate and oversee prospect and donor research requests, and producing insightful reports and spreadsheets.

Event Management & Engagement:

  • Plan and execute impactful development events that strengthen our community and foster donor relationships.
  • Develop and maintain the office events calendar, creating timelines for seamless execution.
  • Coordinate mailings and RSVP lists, serving as the primary liaison to all vendors and managing contracts and payments.
  • Provide on-site support at events and assist development officers in stewarding relationships with gift prospects and donors.

Financial Processing:

  • Gain proficiency in the SAP financial system to manage receipts, expense reimbursements, and vendor invoices.
  • Monitor the DOM development budget, producing financial reports that support strategic decision-making.
  • Collaborate with divisional administration to reconcile gifts and gift accounts, overseeing the purchasing of supplies and donor gifts.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Relevant experience in development/business
  • Ability to work independently while managing and prioritizing multiple projects in a fast-paced environment.
  • Maintain a high level of professionalism and confidentiality in all interactions.
  • Strong interpersonal and organizational skills, complemented by proficiency in Microsoft Office Suite (Excel, Word, and PowerPoint).
  • Exceptional writing, proofreading, editing, and communication skills.
  • Familiarity with Johns Hopkins Medicine and/or development operations is highly desirable.
  • Flexibility to work occasional evenings or weekends as needed.
